A Clear 3-Step Process
From plan intake to contractor-ready reporting, each takeoff follows a consistent, technical workflow. Every takeoff is managed and reviewed by a Licensed Professional Engineer (TX & VA).
1) Plan Submission
Send the 2D civil plan set (PDF) and available supporting documents, including geotechnical reports, typical sections, and grading notes. We review the plan intent and identify any items that affect quantities.
2) Trakware Modeling
We digitize the plans into EarthWorks Pro to build an accurate 3D surface model. This includes existing/proposed surfaces , grading features, and breaklines needed to calculate cut/fill quantities consistent with the plan geometry and design intent.
3) Deliverable Review
You receive contractor-ready quantity summaries with clearly stated assumptions, scope notes, and reporting for estimator review. Deliverables are checked for reasonableness and consistency, then finalized.

- Managed Revisions: Updates for new plan sets are handled as priority items. While minor clarifications are included, significant scope changes are formally estimated to ensure the engineering integrity of the Earthworks model is maintained.
- Current Numbers: I ensure your quantities match the most recent bid documents, so you aren’t bidding on outdated dirt numbers.

What do you need from me to start?
A PDF plan set is typically sufficient. If you have bid forms, addenda, typical sections, and utility details, include those as well. If anything is missing, we will confirm what is needed during scope review.
How fast can you turn around quantities?
Turnaround depends on project size and bid schedule. After a quick scope review, you will receive an expected delivery date aligned to your bid deadline.
Do you provide cut/fill balance and import/export?
Yes. When applicable, we provide cut/fill balance and import/export considerations so you can understand potential excess, borrow, and haul drivers.
Can you update quantities for addenda?
Yes. Because bid accuracy is my priority, I can update your Trakware Earthworks model to reflect the most current plans. However, because these updates require a manual engineering re-analysis of the site, please note the following:
- Minor Clarifications: If an addendum clarifies a detail without changing the physical grading or utility layout, I often include this as part of the original project scope.
- Scope Revisions: If an addendum changes the site balance, pipe depths, or pavement sections, I provide a quick Change Order Estimate based on the additional hours required to re-digitize and re-analyze the affected areas.
- The PE Guarantee: I do not “blindly” apply updates. I review the changes against the original design to ensure the new quantities remain balanced and accurate.
I treat addenda as priority items to ensure you meet your original bid deadline with numbers you can trust.
How are quantities organized for pricing?
Deliverables are summarized in a clean, contractor-friendly format with notes and assumptions. Quantities are grouped to match typical pay items (mass grading, stripping, pads, ponds/ditches, trenching, and related items as applicable).
